DUNS Certificate Requirements in Nigeria 2026: The Complete Document Checklist

Last Updated: July 20, 2026

Getting a DUNS number in Nigeria is straightforward once you understand exactly what documents are required. The challenge most Nigerian businesses face is not the application itself — it is gathering the right documents in the right format before submission.

This guide covers every document you will need, why each one matters, and what to do if you are missing any of them.

What Is a DUNS Certificate?

A DUNS (Data Universal Numbering System) certificate is the official confirmation document issued by Dun & Bradstreet (D&B) after your business has been assigned a 9-digit DUNS number. It serves as internationally recognised proof that your business has been verified and registered in the D&B global database.

Nigerian businesses need this certificate for:

  • Government procurement and federal tenders
  • International client vendor registration
  • Apple App Store and Google Play Store business accounts
  • US government contract eligibility
  • International grant applications
  • Business credit building with global financial institutions
  • Oil and gas sector procurement (NUPRC/NMDPRA requirements)

The Complete Document Checklist

Below is the full list of documents required for DUNS certificate registration in Nigeria. We have broken them into required documents and conditional documents (needed only in specific circumstances).

1. Evidence of Company Registration

You need to provide proof that your business is legally registered with the Corporate Affairs Commission (CAC). Specifically, you will need:

CAC Certificate Your original Certificate of Incorporation issued by CAC. This must show your company's RC number, registered name, and date of incorporation. The name on this certificate must match every other document you submit exactly — even minor differences like "Ltd" versus "Limited" can cause delays.

CO2 — Allotment of Shares This is the form showing how shares in the company are distributed among shareholders. It confirms the ownership structure of the business. For companies incorporated after the CAC's 2020 system migration, this information may appear in your Status Report instead.

CO7 — Particulars of Directors This form lists all directors of the company, their addresses, nationalities, and other details. D&B uses this to verify the people behind the business. Again, for post-2020 registrations, this may be captured in your Status Report.

Status Report If your company was registered after CAC migrated to its new system, your Status Report replaces the older CO2 and CO7 forms. It is a comprehensive document showing your company's current registration status, shareholders, directors, and registered address. You can obtain this from the CAC portal or through a CAC-accredited agent.

MEMART — Memorandum and Articles of Association This is the founding document of your company. It outlines the company's objectives, rules, and governance structure. D&B reviews this to understand the nature and scope of your business activities.

What to do if you are missing these documents: Contact CAC directly or visit their office. For older companies, some documents may need to be retrieved from physical archives. We can assist with CAC document retrieval as part of our DUNS registration service.

2. Proof of Address

D&B requires independent verification of your company's physical address. A utility bill or any third-party document showing your company's registered address is acceptable.

Acceptable documents include:

  • Electricity bill (EKEDC, IKEDC, AEDC, or other DISCO)
  • Water bill
  • Waste management bill
  • Internet or telephone service bill
  • Tenancy agreement or lease document
  • Property ownership document

The address on this document must match the address on your CAC registration. If your company has moved since incorporation, you will need to update your CAC records first before applying for DUNS.

Important: The document must be recent — ideally within the last three months. An old utility bill from two years ago will not be accepted.

3. Audited Accounts (Most Recent 3 Years)

If your company has been operating for more than three years, you must provide audited financial accounts for the three most recent financial years. For applications in 2026, this means your 2023, 2024, and 2025 audited accounts.

Each set of accounts must:

  • Be prepared by a registered and licensed auditor
  • Carry the auditor's original signature
  • Bear the auditor's official seal or stamp
  • Show your company's financial position, income, and expenditure
  • Be consistent with your tax filings

D&B uses audited accounts to assess your business's financial health and to verify that your company is genuinely operational. Businesses with no financial history or unaudited accounts face higher scrutiny.

What if your company is less than three years old? You only need to provide accounts for the years you have been operating. A company incorporated in 2024 applying in 2026 would provide accounts for 2024 and 2025 only.

What if you have not been filing audited accounts? This is a common issue for small Nigerian businesses. You will need to engage a registered auditor to prepare and certify your accounts before applying. This takes time, so plan ahead. We can refer you to qualified auditors if needed.

4. Current Tax Clearance Certificate (TCC)

You need a valid Tax Clearance Certificate from the Federal Inland Revenue Service (FIRS) covering the three most recent tax years — 2023, 2024, and 2025.

The TCC confirms that your company has met its tax obligations in Nigeria. D&B treats this as a key indicator of business legitimacy and compliance.

How to obtain your TCC:

  • Log in to the FIRS TaxPro Max portal
  • Ensure all outstanding tax returns and payments are up to date
  • Apply for your TCC through the portal
  • Processing typically takes 5 to 15 working days

What if your TCC has expired? You must renew it before applying for DUNS. An expired TCC will result in your application being rejected or delayed.

What if your company has never filed taxes? You need to regularise your tax position with FIRS first. This may involve filing back returns and settling any outstanding liabilities. Do not attempt to apply for DUNS without a valid TCC — it will not work.

5. VAT Letter — Introduction as VAT Collecting Agent

This is a letter from FIRS confirming that your company is registered as a VAT collecting agent. It shows your VAT registration number and confirms your company's obligation to collect and remit VAT on taxable supplies.

If your company is not yet VAT-registered, you will need to register with FIRS before applying. VAT registration is mandatory for businesses with annual turnover above ₦25 million, but many smaller businesses register voluntarily to appear more credible to clients and partners.

The VAT letter demonstrates to D&B that your business is formally integrated into Nigeria's tax system — not just incorporated on paper.

6. PenCom Certificate

The National Pension Commission (PenCom) requires employers to enrol their employees in the Contributory Pension Scheme. Your PenCom certificate confirms that your company is compliant with the Pension Reform Act.

If your company has fewer employees than the number mandated by PenCom: You can substitute the PenCom certificate with a list of your employees on your company's official letterhead. This list should include employee names, roles, and confirmation that the company is below the PenCom threshold.

How to obtain your PenCom certificate:

  • Register with a licensed Pension Fund Administrator (PFA)
  • Ensure all employee pension contributions are up to date
  • Apply for your compliance certificate through your PFA

PenCom compliance is increasingly scrutinised in government procurement processes, so having this in order benefits you beyond just the DUNS application.

7. Recent Bank Reference Letter

You need a bank reference letter addressed specifically to the Head of Procurement of your client or the relevant procurement authority. This letter must be recent — typically issued within the last three months.

The letter should:

  • Be on the bank's official letterhead
  • Confirm that your company holds an account with the bank
  • State how long the account has been active
  • Confirm the account is in good standing
  • Be signed by a bank official with their name, title, and contact details

Which bank should issue it? Your primary business bank. If you have accounts with multiple banks, use the one where your main business transactions occur.

Why is this required? D&B and procurement bodies use the bank reference to verify that your business has a genuine banking relationship and is financially active. It is one of the strongest indicators that a business is real and operational.

8. Company Profile

A professional company profile document that describes your business. This should include:

  • Company name, RC number, and DUNS number (once obtained)
  • Year of incorporation and business history
  • Core services or products
  • Key clients or sectors served
  • Team size and structure
  • Contact information and office address
  • Any relevant certifications or accreditations

The company profile does not need to be elaborate, but it must be professional and accurate. It helps D&B understand what your business does and positions you credibly in their database.

If you do not have a company profile, we can help you create one as part of our DUNS registration service.

9. DPR/NUPRC/NMDPRA Permits (Oil and Gas Sector Only)

If your client operates in the oil and gas sector, or if your own business provides services to that sector, you will need to provide the relevant regulatory permits.

NUPRC (Nigerian Upstream Petroleum Regulatory Commission) Required for companies involved in upstream oil and gas activities — exploration, production, and related services.

NMDPRA (Nigerian Midstream and Downstream Petroleum Regulatory Authority) Required for companies involved in midstream and downstream activities — refining, transportation, distribution, and retail of petroleum products.

DPR (Department of Petroleum Resources) The predecessor to NUPRC and NMDPRA. Some older permits may still reference DPR. These remain valid until their expiry date.

If you are not in the oil and gas sector, you do not need these permits. If you are, ensure your permits are current and not expired before applying.

Document Preparation Tips

Consistency is everything Every document must show the same company name, address, and registration details. A single inconsistency — even a missing comma or an abbreviated word — can cause D&B to flag your application for additional verification, adding weeks to your timeline.

Scan quality matters All documents must be scanned in high resolution (minimum 300 DPI) and submitted as PDF files. Blurry or incomplete scans are rejected. If a document has a seal or stamp, make sure it is clearly visible in the scan.

Translations are not required All Nigerian government documents are already in English, so no translations are needed.

Originals versus copies D&B accepts certified copies of most documents. However, some documents — particularly the bank reference letter — must be original. Confirm requirements before submitting.

How Long Does It Take to Gather These Documents?

Realistically, here is what to expect:

Document Typical Turnaround
CAC Certificate and Status Report Already in your possession or 3–5 days from CAC
Proof of Address Immediate (utility bill)
Audited Accounts 2–4 weeks if not already prepared
Tax Clearance Certificate 5–15 working days from FIRS
VAT Letter 3–7 working days from FIRS
PenCom Certificate 5–10 working days from your PFA
Bank Reference Letter 3–7 working days from your bank
Company Profile 1–3 days to prepare
DPR/NUPRC/NMDPRA Permits Already in your possession if applicable

If you are starting from scratch and need to prepare audited accounts and obtain a TCC, allow 4 to 6 weeks before you are ready to submit your DUNS application.

Frequently Asked Questions

Q: Do I need all these documents even for a small business? A: The core documents — CAC certificate, proof of address, TCC, and VAT letter — are required for all businesses. Audited accounts are only required if you have been operating for more than three years. PenCom and bank reference letters are standard requirements for most applications.

Q: What if my audited accounts are not ready? A: You cannot submit without them if your company is more than three years old. Engage an auditor immediately. We can refer you to qualified auditors in Lagos.

Q: Can I submit without a PenCom certificate? A: Yes, if you have fewer employees than the PenCom threshold. In that case, submit a list of employees on your company letterhead instead.

Q: My company name on CAC is slightly different from what I use in business. Which name do I use? A: Always use your exact CAC-registered name. Your trading name can be mentioned in your company profile, but all official documents must reflect your legal registered name.
